Who is responsible
Tech Pickle Studios Ltd controls the personal information used by Lore Council.

Information and its purpose
| Information | Why it is used |
|---|---|
| Email, Council number and joining date | Verify your seat and keep your participation record. |
| Ballot choice and timestamps | Enforce one equal vote per chapter, count results and show your private history. |
| Optional reasoning | Give editors testimony to consider for a Chronicle. |
| Dispatch preference | Send editorial updates only when you opt in. |
| Page and participation events | Understand which pages are used and whether Councillors return. Signed-in events may be linked to your internal Council identity. |
| Hashed security tokens and request identifiers | Secure sign-in and limit abusive requests. Request-limit keys can include a hash of an IP address. |
Lawful basis
- Your seat and your vote (email, Council number, ballots, optional reasoning): necessary to provide the service you sign up for (contract).
- Security (sign-in tokens, request limits): legitimate interests in keeping votes fair and accounts safe.
- Participation events: legitimate interests in understanding how the Council is used, kept to first-party records with no advertising or cross-site tracking.
- Council Dispatch: your separate, optional consent, which you can withdraw from your Council seat at any time.
What is public
Your email is never published. Your personal ballot history is visible to you and authorised administrators. Public results contain aggregate votes. Optional reasoning is private unless selected by an editor; published testimony is attributed to a Council number, not an email or name. A Council number is a public pseudonym, not a guarantee of anonymity if you share it elsewhere.
Do not put identifying or sensitive personal information in your reasoning. A share button can share the choice you personally made, but never reveals other Councillors’ ballots or a sealed tally.
Sign-in, cookies and security
Lore Council handles passwordless authentication itself. An essential cookie named lore_council_session keeps you signed in for up to 30 days, unless you sign out earlier. Sign-in links expire after 15 minutes and are single-use. Expiry is not the same as deletion of the database record. No advertising cookies or cross-site tracking are installed by this application.
Providers and transfers
These providers process information on Lore Council’s behalf:
- Vercel hosts the site and runs it in its London region. Vercel keeps short-lived request logs.
- Neon stores the database in its London region (AWS eu-west-2), including backups within Neon’s restore window.
- Resend sends your sign-in links.
- Simple Analytics counts page visits so we know which pages people use. It sets no cookies and collects no personal information.
- Beehiiv receives your email only if you opt in to Council Dispatch. Signing out does not unsubscribe you.
Some providers are US companies and may access or process information outside the UK. Where they do, they rely on the UK’s recognised transfer safeguards, such as the UK Extension to the EU–US Data Privacy Framework or standard contractual clauses.
How long records are kept
Fictional decisions and aggregate results form the permanent historical record. Personal account records, ballot links, reasoning, authentication records and participation events need separate retention periods. Public testimony under a Council number may still be personal information.
| Record | Kept for |
|---|---|
| Your account and ballot history | While your seat is active. Deleted on request, or after 24 months with no sign-in. |
| Reasoning not selected for a Chronicle | 12 months after its chapter is decided. |
| Participation events | 13 months. |
| Expired sign-in tokens and request-limit records | 30 days. |
| Published testimony under a Council number | Part of the permanent record. It is reviewed on request. |
These deletions are carried out by a periodic review, at least every three months, rather than the instant a period ends. Backups roll off within the database provider’s restore window.
Your choices and rights
You can read the public world without joining. An email is needed to verify a voting identity; newsletter consent is never required. Depending on the processing and its legal basis, you may request access, correction, erasure, restriction, portability or object to processing. You may withdraw consent for Dispatch at any time without affecting earlier lawful processing.
Use the privacy contact above to request a copy of your information or deletion. The controller may need to verify that the request is yours. Account deletion and the permanent fictional record are different: aggregate history can remain, while identifiable account links and testimony require review. There is no automated account-deletion button yet.
You can also raise a concern with the Information Commissioner’s Office. This notice is structured using the ICO’s privacy information guidance.
